Managing Info & Settings
In the Info & Settings section you can set the schedule, engagement survey audience, intro and outro screens, organisation name, scoring and smallest reporting size
The default settings are
- Frequency 6 Months
- Duration 2 weeks
- Repeats on: Monday
- Audience: Everyone in the organisation
- Scoring: Average
- Minimum reporting size: 5
Understanding our scoring options
There are two score systems to choose from – Average and NPS.
Average Score
- The Average score is calculated on a scale of 0 to 10, with 0 being the lowest and 10 being the highest. We calculate the total sum of all the values for that driver and divide it by the number of responses.
NPS Score
- The NPS score is calculated on a scale of -100 to 100, with -100 being the lowest and 100 being the highest. We calculate the score by subtracting the number of detractors (0-6 on the scale) from the number of promoters (9-10 on the scale), dividing by the total number of responses for that driver, and then multiplying the result by 100.
Managing the Question Bank
Admins have full control over the questions to be included in the pulse survey and the audiences that will get each question. Each round the survey is live takes a round robin approach to delivering the questions.
This ensures each time a survey is run a new question from the Question Bank is leveraged to get sentiment against the driver
Toggling the questions:
If you toggle off a question the system will choose the next question in the queue during the the next round.
- Note: If you toggle off a question during while a Survey round is live it will not remove this question until the next round
Managing Manager Insights
From here you can manage three key areas relating to Manager Insights;
- Controlling Manager Insight access at an individual manager level
- Scheduling Results Access
- Anonymity & Advanced Settings
Managers
Note: The 'Enable Manager Insights' toggle at the top of this screen allows you to enable/disable Manager Insight dashboard access across the entire organization.
Enable/Disable Manager Insights access for specific managers, allowing them to analyse survey results for all employees reporting to them.
You can also use the 'Assign Segments' functionality to give a manager access to a specific segment's results. In the example above Megan Berry has been assigned access to the Cork segment. This will allow Megan to view engagement survey results for all employee based in the Cork location.
Schedule Results Access
Managers will gain access to their team's survey results on the 'Insights Access Date' shown. They will receive email and in-app notifications prompting them to view their results once they go live.
By default, managers will gain access to their team's results one week after the engagement survey closes. This default access date can be customised to suit your specific setup. You can also choose your own custom access date per survey round.
The 'Access to Round' toggle give you the ability to disable all manager access to a specific round of results if required.
Anonymity & Advanced Settings
Anonymity Settings: (these settings are independent of the 'Info & Settings' section outlined above)
- Minimum Reporting Size: This is the smallest number of responses a manager can filter down to when reporting. This is to protect participant anonymity.
- Minimum Comments Reporting Size: This is the smallest number of comments that a manager can filter down to when reporting. This is to protect participant anonymity.
- Disable Comments: Allows you to disable comment access across all Manager Insight dashboards.
Advanced Settings:
- Enable Preview of Participation Rates: This grants managers access to view participation rate statistics before they gain full access to survey results.
Setting up Employee Insights for the first time
If you are setting up Employee Insights for the first time you can simply click 'Launch/Schedule' in the Manage Employee Insights section and choose your desired start date. Your first Employee Insights survey will go live for users on your selected date with all of the default settings outlined above.
However, should you wish to customise your survey you can of course change any settings in the 'Info & Settings' and 'Question Bank' sections.
- Note: Be sure to make your desired settings changes before scheduling your first Employee Insights survey. Once you schedule your first survey, no changes to the 'Information & Settings' or 'Question Bank' will impact the upcoming survey. If you would like subsequent changes to be reflected in your upcoming survey simply click 'Regenerate' on your scheduled survey in the 'View All Surveys' section - this will recreate the scheduled survey with all updated settings and questions.
