Workvivo Journeys triggers and steps allow you to design, create and tailored your Journeys.
Depending on your specific use case, you have a range of triggers and steps to choose from to build personalise workflows that are delivered to the users as you set them up. In this article, we review all the available triggers and steps.
Device(s): Desktop
Roles / Permissions:
- Journey Admin: Can create, manage and view analytics on all Journeys across the organization.
- Journey Manager: Can only manage and view analytics on Journeys they have created themselves.
Note: Journeys can only be configured and analysed on desktop. If a trigger or step is disabled for your organization, you won't see it in the dashboard. To enable them, please contact your Workvivo CSM.

- You can select only one badge per trigger.
- All badge types (standard, custom, and anniversary) are supported but must be created beforehand.

- Only RSVP-enabled events with a start date equal to or greater than the Journey's start date are shown for selection.

- If the user RSVPs Going again, the Journey reappears, but the user must start from Step 1.
- Self Enrol: Allows Journey managers to set up evergreen Journeys for eligible teams. Users can enrol themselves when appropriate (e.g., for maternity leave, return from absence, retirement).
Journeys Steps
- Steps follow a sequential order, requiring users to complete them from top to bottom before advancing.
- Steps may be presented simultaneously or distributed across multiple stages using the Add an Interval step.
Currently we support the following steps:
- Share a Message: Add a personalized message to the step. You can create it in the builder or the Message Hub:
- Note: You can only assign one message per step.
- Messages created in the builder are automatically saved to the Message Hub.
- You can also add a celebration animation to the message for when the user open the message.
You can get access to all of your messages from the Manage Message located in the Journeys dashboard under the Options menu:
Please note that you can update the messages in real-time, even if they are assigned to an active Journey.
If you have a video embedded as part of your message, you now have more controls over the subtitles used for that video, including enabling, editing, downloading or replacing.
- Enrol to Space: This step automatically enrols the user to the space you select. The search box lists Global and Private Spaces the Journey admin/manager is a member of.
- Share a Page: Allows you to share an existing Page as part of the Journey (only one page per step) that you - as a Journey Admin - have access to.
- Share an Article: Allows you to share an existing Article (only one article per step) that you - as a Journey Admin - have access to.
- Share Org Chart: Allows you to share the company's org chart with Journey's users. Clicking this will bring them to their exact location in the chart.
- Share an Update: Allows you to share an existing update with the Journey's users. Global and space specific updates are supported.
- Share a Link: Allows you to share any URL (internal Workvivo or external).
- Assign Survey: Allows you to share a with the Journeys users. You can create Journey surveys from the survey's main dashboard by marking a regular survey as Journeys survey (Please Note: Regular surveys can't be used in Journeys and you need to create Journey-specific surveys). The survey must be created in advance:
Please note that Journey-surveys will inherit audience from the Journey that they're assigned to, and won't create notification or billboard for the end-user.
If the survey that has been assigned has a custom translation for the 'Title' then that will be displayed for the end user. If the 'Title' translation matches the user's profile language then it'll show as the Step Title, otherwise it'll show as the original survey title.
- Share Values: Allows you to share the company's values as a step.
- Assign Badge: Allows you to share a Badge with Journey's users.
- Standard, anniversary, and custom badges are supported but need to be created in advance.
- Share an Event: Allows you to share an Event as a Journey step.
- Past events that have an start date before the present date are marked with label Past, and upcoming events are marked as Upcoming.
- Add an Interval: Delay the steps that follow for a set number of days (1–365).
- The delay is calculated from the date the user hits the trigger.
- You can't have two consecutive intervals.
- The day specified must be greater than the previous interval's day (e.g., if the first is Day 50, the next must be Day 51 or later).
Updating Step Content
Journey Admins/Managers an now update the message, article, page, update, link or event that is currently linked to a step in the Journey.
This can be done via the 'Edit Journey' function and when you update the content you will be requested to ensure you want to change the content.
This feature does not allow you to change the step type, meaning you cannot update from a share page step to a share article step, only the content linked within.
Note: Already completed steps by the user will retain their status, as will already acknowledged steps. Steps that are 'In-progress' or 'Not Started' will be updated with the new content.
This does not apply to share a survey, share a badge and enrol to space steps.
