The new Workvivo Search doesn’t just look inside your platform - it can also help you find information stored in other tools your organisation uses every day.
With Connectors, you can search across systems like SharePoint, Google Drive, OneDrive, Confluence, and more, all from one place.
What Are Connectors?
Connectors extend Workvivo Search beyond native content by showing results from external systems. This means you can find files, documents, and updates from other platforms without leaving Workvivo.
External results appear in a separate section or tab within the search interface. They are not mixed with Workvivo results - each source is clearly identified so you always know where your content lives.
How It Works for Users
- When you run a search, you’ll see Workvivo results first, followed by a section for connected sources.
- You can toggle between Workvivo and external results to view what’s available in each system.
- Results from connectors are displayed separately - this is not federated search, meaning they are not blended into a single ranked list.
- You’ll only see content you have permission to access in each external system, based on that system’s security settings.
Example: If your organisation has connected SharePoint and Google Drive, you can search for “Expense Policy” and view results from both systems directly within Workvivo.
Admin Setup and Access
- Connectors must already be activated for your organisation.
- Once activated, users can connect their accounts through the existing connector setup flow - this is a user-level action, not automatic. This can be done via the user profile.
- Admins don’t need to take additional steps for connectors to appear in search, as long as they’re already configured.
Supported External Systems
Workvivo currently supports a wide range of third-party systems:
- SharePoint
- Google Drive
- Google Calendar
- Gmail
- OneDrive
- Confluence
- Box
- ServiceNow
- Microsoft Outlook (Mail and Calendar)
- Jira
Availability may vary depending on your organisation’s configuration and permissions.
What You’ll See in Search
- Separate tabs or sections for each connected source
- External results clearly labelled by system (e.g., “From SharePoint”)
- Consistent search experience across web and mobile
- Filters remain visible for Workvivo content, even when connectors are enabled
Keep In Mind
While connectors greatly expand what you can find, there are a few things to keep in mind:
- Filters and sorting currently apply only to Workvivo results.
- Sort by Most Recent does not yet work for connector results.
- Ranking is not unified across systems - external results are shown separately.
Tips for Getting the Most from Connectors
- Activate your connectors early so you can access all available content.
- Use clear search terms - connector results rely on the external system’s indexing.
- Check permissions if you can’t see expected results; access is controlled by the external system.
- Combine Workvivo and connector searches to get a complete view of your organisation’s knowledge.
