The Spotlight screen lets admins customize what users see and it can be segmented by audience type so you ensure that only certain teams can see certain widgets.

How to Configure Spotlight Mobile
Go to Admin > Spotlight Admin. Toggle on / off Enable Spotlight on Mobile
Default Experience
The first-time experience will by default have the following widgets displayed in Spotlight if these are enabled in your Workvivo instance.
- Upcoming Events
- Trending Spaces
- Featured News
- Featured Podcast
- Featured Pages
Adding a New Tab
- On the Spotlight Admin page, click Add tab.
- Enter a name for the tab in the Title field.
- Select the audience for the tab using the Audience selector. You can select Everyone or Teams.
- Click Save to save the tab as a draft. When you want to set the publish date, toggle on Enable Tab, and then, in the Publish Date field, enter the date and time the tab should be published.
To unpublish a tab, click the Edit icon of the tab, and then toggle off Enable Tab, and then click Save. To delete a tab, click the Edit icon of the tab, click Delete, and then click Delete on the confirmation modal.
Tabs can be reordered by the Admin in the 'Spotlight Admin' section on web, just drag the tab right or left to reorder it.
Adding a New Widget
- On the Spotlight Admin page, select the tab you want to add the widget to, and then click Add widget.
- On the Add Widget modal, click the widget you want to add.
- Configure the widget settings.
- Click Save. When you want to publish the widget, enable it in the main list view using the toggle at the right-hand side.
These widgets include Featured News, Upcoming Events, Featured Podcasts, Quick Links, Trending Spaces, Featured Pages, Featured Apps, Featured Documents, Starred Apps, Latest Podcasts, Billboards and a selection of Content Picker Widgets
Once you click on one of the widgets you can set the audience and it will display for example Featured News to that audience. The end user will only see the content if they are part of the audience that it is set to.
For example the Resources tab could be set to the audience of 'Everyone' but if the Featured News widget inside that tab is set to the 'Sales' team only users in the Sales team will see that widget on mobile.
The same behaviour applies to all the other widgets.
You can reorder, edit, disable / enable, and delete widgets on the Spotlight Admin page.
- To reorder a widget to a different point in the list, click the Move icon on the left side of the widget in the list view, and drag and drop it to the required location.
- To edit a widget, click the Edit icon on the right side of the widget in the list view.
- To enable or disable a widget, use the toggle on the right side of the widget in the list view.
- To delete a widget, click the Edit icon of the widget, click Delete, and then click Delete on the confirmation modal.
Adding Quick Links
This widget displays articles, links, apps, or files from the selected folder in Resources > Apps. More information on how to create and add folders can be found here
The widget title can be customized in the Mobile Spotlight Admin section.
Content can be shown in Grid, Bento, or List view, depending on your selection.

Featured News Widget
- Displays up to 5 featured news articles
- Clicking 'View All' will take you to a screen showing all other News articles.
- On the 'View All' screen, if an article does not have an image then it will use a default image.
Upcoming Events Widget
- Displays the next upcoming 5 events
- The next immediate event will show at the top of the widget with an image; if the event does not have an image then it will use a default image.
- Clicking 'View All' will take you to a screen showing all events ordered by nearest first.
- On the 'View All' screen, if an event does not have an image then it will use a default image.
Podcasts Widget
- Displays the 5 most recent podcast episodes
- Clicking 'View All' will take you to the Podcasts screen
- Podcasts can be played and paused from the widget
Trending Spaces Widget
- Displays 5 Trending Spaces in a scrollable carousel
- Clicking 'View All' will take you to the Spaces screen.
Featured Pages Widget
- Displays up to 5 Featured Pages in a scrollable carousel
- Clicking 'View All' will take you to the Pages screen
Featured & Starred Apps Widget
Featured Documents Widget
Billboards
- Add and arrange up to 5 billboards.
- Each billboard is created by the user inside the widget, rather than referencing other billboards within Workvivo.
- You can enter a title, upload an image, insert a link, and set the audience at both the widget and billboard level.
- To reorder a billboard to a different point in the list, click the Move icon on the left side of the billboard title in the list view, and drag and drop it to the required location
Content Picker Widgets
The preconfigured widgets, such as Featured News & Latest Podcasts have in-built logic that dictates what content is displayed, content picker-style widgets enable admins to select specific pieces of content to display. There are a range of content picker widgets, including Posts, Events, News, Surveys & Forms, and Spaces.
Select up to five pieces of the widget's content type to display. The availability of content for selection may differ depending on the user's role. The audience set for the content will be respected in the widget; users outside the audience will not see it. If all content in the widget has an audience set that the user is not part of, the widget itself will not display for them.
Events
- Select up to 5 events that you have access to
- To reorder an event to a different point in the list, click the Move icon on the left side of the event title in the list view, and drag and drop it to the required location
News
- Select up to 5 articles that you have access to
- To reorder an article to a different point in the list, click the Move icon on the left side of the article title in the list view, and drag and drop it to the required location
Surveys & Forms
- Select up to 5 surveys and forms that you have access to.
- System Admins will have access to all Surveys and Forms; Spotlight Managers will need either the Survey Manager role to access surveys they created, or the Survey Admin role to access all Surveys and Forms

To reorder a Survey / Form to a different point in the list, click the Move icon on the left side of the Survey / Form title in the list view, and drag and drop it to the required location
Spaces
- Select up to 5 Public Spaces or Private Spaces you have access to.
- Hidden Spaces are returned but cannot be saved for displaying in the widget.
- If the space has a preferred audience set, users outside the audience will not see the selected space.
- To reorder a Space to a different point in the list, click the Move icon on the left side of the Space title in the list view, and drag and drop it to the required location
Posts
- Select up to 5 posts that you have access to
- To reorder a Post to a different point in the list, click the Move icon on the left side of the Post text in the list view, and drag and drop it to the required location
