Permissions are set via AI Admin settings.
The Admin can enabled the Compose feature via a toggle.
Once Compose is enabled in the posting experience there is an additional setting to Allow anyone who can post on the platform to use Compose.
AI Post Compose Settings
Once the Compose solution is activated, there is an additional AI Post Compose Settings available in the Features menu.
The AI Post Compose Settings screen displays a usage chart, that tracks the usage of the Compose and Refine solution. This allows the admin to monitor the overall usage of the compose solution on a daily basis and also the usage of the refine solution (where users refine existing content via AI).
The metric on the chart captures how many individual incidences the solutions were used on a daily basis.
The use of tools to support the AI compose or refining solution is also configurable.
People Search, Team Search and Event search can all be enabled, which gives the AI solutions access to relevant People, Team or Event data.
People Search - Allows Workvivo AI to search for People mentioned when composing posts, enabling automatic tagging of people mentioned in posts.
Team Search - Allows Workvivo AI to search for Teams mentioned when composing posts, enabling automatic tagging of Teams mentioned in posts.
Event - Allows Workvivo AI to search for Events mentioned when composing posts, enabling automatic linking of Events mentioned in posts.
These options can be toggled on or off.
Writing Profiles
Writing profiles are applied to the AI compose as selected by the user.
Availability:
Both AI Compose and AI Writing Profile are available as standard product features to all Workvivo customers following being made generally available at end-July 2026.

Key Features
- AI Compose for Posts (not applicable to other Workvivo content types)
- Quick-start prompt suggestions in AI Compose (e.g. "Write a friendly company update," "Celebrate a team or individual achievement," "Announce an upcoming change or event")
- Free-text prompt input ("What do you want to say?") as an alternative to quick-start prompts
- AI-generated draft with Retry, Refine (e.g. Improve writing / Make shorter / Make longer / Change tone), and Insert actions
- Profile selector on the prompt input — lets the user choose a tone/persona to apply to the generated draft
- @mention support in the prompt — user can tag specific colleagues by name and the AI incorporates them directly into the generated content
- Contextual awareness — AI can pull in relevant live context (e.g. auto-including the correct event link when the prompt references a specific event)
- Change tone sub-menu (Casual / Formal) within Refine
- Mentions / Shout-out avatar display in the composer alongside AI-generated content

AI Writing Profile — admin tool for defining a named writing/brand profile (e.g. "Formal):
- Manual configuration: base style/tone (e.g. Friendly), writing preference toggles (positive framing, gender-neutral language, accessibility-friendly language, simple vocabulary, action-oriented language, Oxford comma, emoji use, org-specific terminology), and custom instructions (free-text rules, e.g. "No boasting or overt promotion")
- Automatic generation: admin uploads a PDF (up to 10MB, e.g. brand/style guidelines) and AI extracts key themes/topics to generate the profile
- Once created, the profile becomes selectable as a writing option within AI Compose
AI Compose - How it Works
- User opens the post composer and clicks the ✨ sparkle icon in the toolbar.
- The "Workvivo AI" panel opens with three quick-start prompts plus a free-text input, a writing profile selector (e.g. Default / CEO / Brand) for tone/persona, and support for @mentioning colleagues directly in the prompt.
AI Compose Panel
- AI generates a full draft post inline, using contextual awareness to pull in relevant live details as enabled in AI Admin Settings. This contextual awareness allows AI to pull in users, teams or events.
AI Compose Draft
- User can Retry, Refine (Improve writing / Make shorter / Make longer / Change tone → Casual/Formal), or Insert the draft into the composer.
AI Compose Refine
- Additionally, a user can highlight a specific portion of the text and refine just that piece of text.
- User Highlights the text they want to refine and clicks the AI menu option
- Workvivo AI generates a refinement
- User can replace, retry or continue to refine the selected text
- A disclaimer ("Workvivo AI can make mistakes. Review for accuracy") is shown throughout.
AI Writing Profile - How it Works
- Admin-facing tool (under AI Post Compose Settings → AI assisted profile) for defining a named writing/brand profile.
- Configured either manually — setting a base style/tone , toggling writing preferences and adding custom free-text instructions — or automatically, by uploading a document (up to 10MB) from which the AI extracts key themes/topics to generate the profile.

The writing preferences available are as follows:
- Positive Framing - Focus on constructive, solution focused messaging
- Gender-Neutral Language - Avoidance of gender pronouns, inclusive language used
- Accessibility-friendly langauge - Avoid colloquialisms for non native speakers
- Full Date Format - Avoids numeric date formats
- Simple Vocabulary - Clear, easily understood language
- Action oriented language - Strong active direct messaging
- Oxford Comma - A serial comma before the final item in a list
- Emoji Use - Emojis to make messaging more engaging
- People - Reference people using preferred internal terminology
Custom Instructions
This allows the user to provide specific instructions to follow when composing using the relevant writing profile.
- User clicks Add Instruction, gives the instruction a name and then adds the details of the instruction.
- User clicks save to save the instruction to the profile.
AI Assisted Profile
Adding an AI profile allows you to upload a contextual document, like brand guidelines for example, via a drag and drop option or by browsing to and selecting the relevant document.
AI will analyse and contextualise the content in the uploaded document. This may take between 15 and 20 seconds to extract writing preferences, style etc.
Once the AI has contextualised the document, it will match to the writing preferences available and any custom instructions that AI identified in the document, and the AI profile is ready for use. Please note, the settings can be manually updated for an AI profile as required.
- Once saved, the named profile (e.g. "Formal") appears as a selectable Writing Profile option in AI Compose.
