The Documents dashboard provides a detailed analysis of your document content across all document types: global/system documents, space files, and space documents. It shows you your top documents, the trend of views over time, the core engagement metrics, and document details and properties. If you use expiry dates on documents, it will also show you upcoming expiring documents.
Use it to understand which Documents are getting the most traffic, as well as which are not and are therefore candidates for removal or updating.

Top Documents and Listening Platform
The purpose of this visual is to give a quick view of the most viewed documents, and allow you to quickly get more information on one of them. It can be useful to filter to a specific type, for example to see your top Global Files (aka System Documents). Or it may be useful to filter to a specific Space to see the usage of Space Files or Space Documents in just those Space(s).
By default it will rank by total views, but it can also be ordered by any of the other values by selecting that column. Scroll the table to see all the Documents in your organization (or use one of the larger tables lower down).
Using a combination of the total views and the average view ratio will help you understand which Documents are not just highly visited, but which are returned to again and again by the same people, and therefore highly valuable.
On the right you can see the views broken down by platform. This will show data for the the selected document(s).
Selecting (clicking on) a specific Document will filter the visuals to that specific item. Click again to deselect.
Use the date filters to narrow down and focus on the engagement specific to that timeframe. Note that changing the date filters will reset any document or space selections.
Document Visit Trends
Shows the total views in the timeline selected by the date filters, or from the date of first visit (whichever is the later). This is further broken down by device type. Total views and Total viewers (unique views) are also included on this chart, as well as the percentage breakdown by device type.
By default this will show all documents. If a specific document type(s) or space(s) has been selected above, the data will represent the engagement with all documents of those types and spaces. If a specific Document has been selected, it will represent that Document.
This chart is very useful to understand how document visits are changing over time. Use it without any specific item selected to understand if overall document consumption is increasing or decreasing. Use it with just Global Files to understand top level document consumption.
Filtering to a specific Space is useful to understand the trend in the documents views in that Space, especially in combination with the View breakdown and Engagement breakdown tables below it. Filtering to a specific document allows you to understand if the content is still being visited.
Document Details and Views Breakdown
This table is useful to get a view of extra view information on documents, as well as providing quick links to both the document and the location of the document.
For example, you might want to sort documents in a certain space by highest unique viewers, or most views on mobile. It can also be exported for analysis in another tool of your choice.
Document Properties and Engagement Breakdown
This table is useful to get a view of engagement information on documents, such as downloads, or opens. Note that opens are only applicable to Space Documents while downloads will only show for global documents or files. It also provides extra information around the document creation and "last updated at" date, whether it is featured, and the expiry date if set.
Sort and filter this table to find documents that are only featured, or with a "last updated at" date over a year old for example.
You can click to select a document in both these tables also, which will filter other visuals. Top level filters apply.
Upcoming Expiring Documents
This table provides a view of any documents with an expiry date in the next 60 days. This can be useful to ensure you are aware of anything that might need to be updated.
Note that top level filters do not apply to this table because it is looking for any document with an expiry date in the next 60 days.
Key Definitions
- Average View Ratio - the number of views divided by the number of unique viewers. How many times, on average, each viewer has viewed the document. A high number here indicates a document that is viewed repeatedly.
- Total Views - the total number of views of the document. This would be opening the file in the preview, or opening the space document.
- Unique Viewers - number of unique viewers of the document
- Downloads - For Global Documents (which are files) and space files, this will show the number of downloads.
- Total Opens - total number of opens of the Space Document
- Attachment Opens - total number of opens of the attachment to the Space Document
- Unique Opens - unique users who opened the Space Document
